Caliber Field Systems, Inc. ("Caliber," "we," "us," or "our") operates the Caliber field service management platform at app.trycaliber.app and the Caliber mobile application (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our Service.

By using the Service, you agree to the collection and use of information as described in this Privacy Policy.

2.1 Information You Provide

When you create an account or use the Service, you provide us with:

• Account information: name, email address, phone number, business name, and password
• Business information: company address, license number, insurance details, trade type
• Customer data: your end customers' names, contact information, property addresses, and service history
• Job data: job details, photos, notes, checklists, and technician assignments
• Financial data: estimate and invoice information, pricing, and payment records
• Pricebook data: service items, materials, pricing, and gross profit margin settings
• Communications: messages and support requests you send to us

2.2 Information Collected Automatically

When you use the Service, we automatically collect:

• Log data: IP address, browser type, pages visited, and access times
• Device information: device type, operating system, and mobile device identifiers
• Usage data: features used, actions taken, and session duration
• Location data: approximate location based on IP address; precise location only if you grant permission in the mobile app

2.3 Information from Third Parties

We receive information from third-party services integrated with the platform:

• Stripe: payment confirmation, subscription status, and Connect account information (we do not store full card numbers)
• Supabase: authentication tokens and session data

We use the information we collect to:

• Provide, operate, and maintain the Service
• Process subscription payments and payment transactions between you and your customers
• Generate AI-powered features including the APEX Daily Huddle briefings
• Send transactional emails including account verification, job notifications, and invoices
• Respond to your support requests and communications
• Monitor and analyze usage to improve the Service
• Detect, investigate, and prevent fraudulent or unauthorized activity
• Comply with legal obligations
• Send product updates and service announcements (you may opt out of marketing emails)

We do not sell your personal information or Customer Data. We share information only in the following circumstances:

4.1 Service Providers

We share information with third-party service providers who help us operate the Service:

• Stripe (stripe.com) — payment processing and subscription billing
• Supabase (supabase.com) — database hosting and file storage
• Resend (resend.com) — transactional email delivery
• Anthropic (anthropic.com) — AI features (job data may be processed to generate briefings)
• Railway (railway.app) — backend API hosting
• Netlify (netlify.com) — web application hosting

These providers are contractually obligated to protect your information and use it only to provide services to us.

4.2 Legal Requirements

We may disclose your information if required by law, court order, or government authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Caliber, our users, or the public.

4.3 Business Transfers

If Caliber is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.

We implement industry-standard security measures to protect your information:

• All data is encrypted in transit using TLS (HTTPS)
• Data at rest is encrypted in our Supabase database
• Multi-tenant data isolation using row-level security (RLS) — each company's data is logically separated
• Passwords are hashed using bcrypt before storage
• Access to production systems is restricted to authorized personnel
• Stripe handles all payment card data — we never store full card numbers

Despite these measures, no security system is impenetrable. We cannot guarantee the absolute security of your information. In the event of a data breach affecting your rights, we will notify you as required by applicable law.

We retain your Customer Data for the duration of your active subscription. After you cancel:

• Your data is retained for 90 days, during which you may request an export
• After 90 days, your company data, customer records, job history, and account information may be permanently deleted
• Anonymized, aggregated data may be retained indefinitely for analytics purposes
• We retain financial records (invoices, payment records) as required by law, typically 7 years

7.1 Account Information

You may update your account and company information at any time through your account settings at app.trycaliber.app/settings.

7.2 Data Export

You may request an export of your Customer Data by contacting us at hello@trycaliber.app. We will provide your data in a machine-readable format within 30 days.

7.3 Data Deletion

You may request deletion of your account and associated data by contacting us at hello@trycaliber.app. We will delete your data within 90 days, subject to legal retention requirements.

7.4 Marketing Communications

You may opt out of marketing emails by clicking the unsubscribe link in any marketing email. You cannot opt out of transactional emails necessary to operate your account (e.g., invoice notifications, verification emails).

7.5 California Residents

California residents may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete personal information, and the right to non-discrimination. The Service uses cookies and similar technologies to:

• Maintain your login session
• Remember your preferences
• Analyze Service usage and performance

We do not use third-party advertising cookies. You can control cookies through your browser settings, but disabling cookies may affect Service functionality.

The Service is not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If we learn we have collected information from a child under 13, we will delete it promptly. If you believe we have collected such information, contact us at hello@trycaliber.app.

The Service may contain links to third-party websites. We are not responsible for the privacy practices of those sites. We encourage you to review the privacy policies of any third-party sites you visit.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or in-app notice at least 30 days before they take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
